JOB DISCRIPTION – SECRETARY

 

  • Position Title: Secretary – Antananarivo Office
  • Location: Antananarivo
  • Duration: Approximately 10 months, option for relocation to Toamasina after completion of the design
  • Expected Start Date: January 8, 2018
  • Role Overview
  • Our partner is looking for a secretary for Development Project at Antananarivo Office. This position will report to the expatriate Project Controls Manager and Malagasy Administration Manager, providing an array of secretarial/administrative support.

The duration of this assignment is about 10 months.  However the individuals demonstrating outstanding performance will have an option to work in Toamasina after completion of this assignment.

The work hours are 40 hours from Monday-Friday. This position may require additional overtime hours as deemed necessary, especially during the periods immediately before submission of reports.

Responsibilities

Principal responsibilities include, but are not limited to:

  • Maintain office supplies and order as necessary
  • Coordinate meetings, arranging for facilities, equipment, and refreshments
  • Undertake occasional receptionist duties
  • Make travel arrangements
  • Answer phones, collect mail, provide office supplies, and resolve computer and phone issues
  • Support and facilitate the completion of reports including formatting the report using MSWord and MS Excel
  • Provide word processing support, as needed, including correspondence, meeting minutes, proposals, presentations and reports
  • Develop and maintain a filing system, for hard copies and electronic copies, including scanning and photocopying
  • Organizes material for meetings, presentations, and training sessions.
  • Prepare and distribute notices, agendas, information packets, and minutes
  • Document expenses and hand in reports
  • Print, photocopy and compile reports and drawing sets
  • Assist expatriates in daily communication with non-English speakers. Translate emails and short sentences in French into English.
  • Assist expatriates and their accompanied families in their personal issues including visa, banking, accommodation, sickness and vacation
  • Monitors all follow-up actions required by supervisor/manager.
  • Perform other duties as assigned by Project Manager or other senior project members
  • Flexible to work overtime on an as-needed basis

 

Basic Qualifications:

 

  • High School Diploma or equivalent and 5 years of related experience or University Degree with 3 years of related experience.
  • Proven work experience as a secretary or administrative assistant
  • Must be able to demonstrate basic to intermediate proficiency using Microsoft Excel, Word, Outlook, and PowerPoint.
  • Must be fluent in English
  • Experience in Filing and Document Control Work Processes
  • Good communication and organizational skills
  • Ability to type accurately and format properly
  • Strong interpersonal skills and ability to work as a team player required
  • Willing to work with foreigners, particularly with Asians

Preferred Qualifications:

  • Experience in accounting
  • English-French Translation Skill
  • Knowledge of administrative functions, filing systems and common office procedures
  • Advanced knowledge of software applications, particularly Microsoft Word, PowerPoint and Excel
  • Willing to work overtime at a short notice as needed
  • Ability to speak in Japanese or interest in Japanese culture
  • Willing to move to Toamasina
